Tenants Guide

The aim of this guide is to provide you with some helpful information to assist you in your search for a home. We have provided some useful telephone numbers, details of our reference requirements and other relevant information. All this, combined with our professional approach and reliability should make finding suitable and affordable accommodation as worry free as possible.
The Agency
Hylton Estates is an independent letting agent established to provide a friendly approach together with an excellent quality of service to all tenants at all times.
To Register
Firstly, you will need to register your interest with us by calling our office on 020 7635 7646 or 020 8690 8397.
If you have access to Internet, you can subscribe to our e-mail list and we will e-mail you as soon as new property matching your requirements becomes available.
Viewing A Property
We hold the keys on most of our rental properties and we always try to arrange an appointment. Some of our available properties may be occupied, in which case an appointment for you to view is arranged via the present occupier.
Holding Deposit
An initial of £100 is required to secure a property; this will only be acceptable in cash.
We cannot take the property off the market without this deposit. It will later be used towards the first months rent.
Please Note You Will Lose Your Deposit If You:
a. Do not complete in full and return our application form within 3 days of paying our deposit.
b. Fail to move in the agreed completion date.
c. Change your mind and decide not to proceed.
d. Provide false or misleading information casing the landlord to pull out.
 Administration/Agreement Fee
We charge £50.00 + VAT (£58.75 inc.) to cover applying for references and the legal tenancy documentation. This is required upon return of your completed application form.


 References
These are typical references required:
a. Bank reference
b. College or employer's reference
c. Present or previous landlord reference. If you have not rented before, we require a character reference from a professional colleague or friend.
 Deposit
We shall require 1 month's rent in advance and 1 month's rent as deposit before you occupy property. We will accept cash on the day of occupation, or a cheque at least 5 working days prior to occupation. The deposit is refundable at the end of the tenancy, less the cost of any breakage, damage, cleaning etc.
 Who Do I Pay The Rent To?
This will depend on whether Hylton Estates is managing the property for the Landlord. If we are, you will pay the rent directly to us, normally, by standing order. You will always be sent a rent demand at least 7 days prior to its due date. Where we are not the managing agent, we will provide you with details for the payment of rent.


Utilities
Tenants are responsible for utilities at the property and also council tax;
TV license and contents insurance for your own personal belongings (if required). All accounts should be in the tenants name by date of occupation.The responsibility for informing the relevant service lies with, the tenants, both at the onset and end of tenancy.

Please note: All utility services should be contacted at least 3 working days prior to the commencement of the tenancy.
NOTICE

Important Notice to all Prospective Tenants Before setting up a tenancy, we will take up references on you. We use home let Referencing Service, the largest tenant referencing service in the UK, to do this. In order to assist you in finding the right property speedily, it is important that you supply us with mandatory information to reference you properly.

It is essential that the information requested is supplied and the form fully completed and legible missing information will delay you application and may endanger your choice of property.
When completing the reference application form, you will need to have the following information supporting document with you.
-The full address of your current property, including the post code.
-Your cheque book and details including account no. and sort code If less than three years at your current address, a list of all addresses for the last three years with post codes and dates of occupation.

-The full company name, address and post code of your employer (if applicable).
-A contact name and telephone and fax number for your employer.
-A contact name / company name, address, telephone and fax number of current letting agent or landlord (if applicable)
-All telephone and fax numbers given must include the full STD code
-You must provide proof of identity and proof of residency at your current address by at least one of the following:

-A Driving License with your current address, or, -A recent utility company bill no more than 3 months old, or, -A recent mobile telephone bill
-A council tax bill in your name at your current address, or,
-A signed and dated letter from your employer's resources department or finance director showing the name of the individual and their position within the company Note: Bank statements, DSS / pensions pass books / Benefit vouchers are not acceptable as proof of residency.
Please ensure that ALL referees you have provided have been advised that they will be contacted by a referencing agency.
